Privacy Notice

How we approach personal information, enquiries and website use.

Updated 25 September 2026. Questions? Contact info@eastgatepartners.eu.

Scope

This notice explains how East Gate Partners EOOD handles information through this website, its AI assistant and business enquiries. It applies to the website services described below. It does not mean that Eastgate OS or a live intelligence feed is available.

Who is responsible

East Gate Partners EOOD, trading as Eastgate Partners, is the controller for the website and business enquiries covered by this notice. Company registration number: 208876894. VAT ID: BG208876894. Address: Tsar Osvoboditel 14, Landmark building block, 5th and 6th floors, Sredets district, 1000 Sofia, Bulgaria. Contact: info@eastgatepartners.eu.

Information covered

Enquiries may include your name, work email, company, country, business interests and the information you choose to send. Business correspondence may include details needed to discuss or perform an assignment. Website requests can involve IP addresses, requested pages, browser information and technical logs. Please do not send passwords, identity documents, sensitive personal information or confidential third-party material through an initial enquiry.

Why we use information

We use enquiry details to understand and respond to your request. Where you personally request steps towards a contract, we process the necessary information for those steps. When you act for a business, we rely on our legitimate interest in responding to professional enquiries and managing business relationships. Technical information supports our legitimate interest in maintaining and securing the website. Optional analytics relies on your consent. Sending an enquiry does not subscribe you to marketing.

Website, enquiries and AI assistant

Webflow hosts this website and its media. Fonts are requested from Google Fonts. Standalone website enquiry forms use Make to route the details you review and submit to Microsoft SharePoint for Eastgate follow-up. Ask Eastgate uses a separate public channel in our Microsoft Azure service. Your chat message, a short summary of the business conversation and approved public Eastgate information are sent to OpenAI’s API to generate a conversational reply. A bounded summary is carried in an encrypted session token so follow-up questions can be understood; it expires after 20 minutes without renewal. We request that these responses are not stored as response objects by OpenAI; this does not exclude processing or retention required under the provider’s applicable data policies. After five anonymous questions in a session, we ask you to verify your email through a code sent via Microsoft 365. Verification alone does not create an enquiry or subscribe you to marketing. If you choose to contact the team through the assistant, you review your name, company, interest and enquiry summary before email verification and submission to EP Leads in SharePoint. Your verification code and the contact details entered in this follow-up flow are not sent to the language model. Verification and request-control records are kept separately to confirm mailbox access and limit misuse. The public assistant has no access to internal partner records or private documents. Do not include sensitive personal information or confidential third-party material in chat questions. AI replies may be incorrect and should be checked with the team. The assistant does not make decisions with legal or similarly significant effects.

Providers, recipients and processing locations

The services involved include Webflow for hosting; Google for fonts and, only after permission, Google Analytics; Make for workflows; Microsoft 365 for enquiry records, internal notifications and email; and OpenAI for requested AI replies. Authorised Eastgate team members receive enquiries for follow-up. Providers may process information outside the European Economic Area, including in the United States. The applicable locations and transfer arrangements depend on the service and provider agreement. Contact info@eastgatepartners.eu for information about the arrangements and safeguards applicable to your information.

How long information is kept

Enquiry records and related correspondence are kept while needed to handle the request and relevant follow-up. Where an enquiry becomes an assignment, records may also be needed to perform the engagement, meet legal recordkeeping duties or establish or defend claims. We assess retention against these purposes rather than keeping every enquiry indefinitely. The website keeps chat context in the current page session; refreshing the page clears that browser context. This does not erase provider-side processing or workflow logs, which follow the relevant service settings and obligations. Cookie preferences are remembered for up to 180 days. Contact us if you want information about a particular record or wish to request deletion.

Your rights

Depending on the circumstances and applicable law, you may request access, correction, deletion, restriction or portability of your personal data, and object to processing based on legitimate interests. You may object to direct marketing and withdraw consent where processing relies on it; withdrawal does not affect the lawfulness of earlier processing. Contact info@eastgatepartners.eu. We may need proportionate information to verify your identity. You may also complain to the Bulgarian Commission for Personal Data Protection, or another competent supervisory authority, including in the country where you habitually live or work.

Choices and updates

Providing enquiry or chat information is voluntary. Without the details needed to answer, we may be unable to respond or progress your request. You can contact the team by email instead of using the assistant. You can refuse or withdraw optional analytics through Cookie settings on the website. This notice was updated on 27 September 2026 and will be revised when the website’s processing changes.
